Internal Stanford Users

Main content start

SUMS is on iLab, an online system intended to streamline the process of ordering, tracking and billing for core analysis requests. All core usage is processed through the system, which requires a one-time registration as described below. Once you are registered, the system will enable you to place analysis requests, provide required approvals, and monitor progress.

I. To register for an account

  1. Click here to login and register.
  2. Login using your SUNet and password.
  3. Upon successful authentication, you will be prompted to select your PI/lab from the pull-down list and provide your phone number.
***Note: The person whose PTA (account) will be funding your project is the person to select as your PI. Contact iLab if you need to be associated with more than one PI, or if you selected the wrong PI and need to have your PI changed.
  4. Submit the completed registration form. Submission will notify your PI of your lab membership request.
  5. You will be sent an email with basic instructions on using the system at this time. However, you will not be able to place orders with your new account until your PI has approved your lab membership request and assigned a PTA to which your analyses can be charged.

II. Workflow: what to expect when using iLab

A typical proteomics project run through iLab proceeds as follows:

  1. Researcher meets with SUMS scientists to discuss the project and plan the approach
  2. Researcher submits iLab request; iLab request status will be “Waiting for core to agree”
  3. Researcher brings/sends samples to SUMS
  4. SUMS finalizes/confirms the proposed work and cost in iLab and agrees to the request; iLab request status becomes “Waiting for researcher to agree”
  5. Researcher approves iLab request; iLab request status becomes “Waiting for core to begin“
  6. SUMS begins work on the request; milestones within the request may show status changes, e.g. “Sample Prep – finished”
  7. SUMS completes work and sends data to researcher; iLab request status is “Completed”

A typical small molecule project run through iLab proceeds as follows:

  1. Researcher meets with SUMS scientists to discuss the project and plan the approach
  2. Researcher submits iLab request; iLab request status will be “Waiting for core to agree”
  3. SUMS enters the proposed work and cost in iLab and agrees to the request; iLab request status becomes “Waiting for researcher to agree”
  4. Researcher approves iLab request
    • Depending on your lab’s settings, the request may be sent to your PI/financial admin for further approval.  Once all approvals are entered, iLab request status becomes “Waiting for core to begin“
  5. Researcher brings/sends samples to SUMS
    • Estimate could be re-worked at this point if there is a mismatch between the approved project and iLab project
  6. SUMS begins work on the request; milestones within the request may show status changes, e.g. “Sample Prep – finished”
  7. SUMS completes work and sends data to researcher; iLab request status is “Completed”

An open access training request run through iLab proceeds as follows:

  1. Researcher submits iLab Open Access Training request; iLab request status will be “Waiting for core to agree”
  2. SUMS confirms the training in iLab and agrees to the request; iLab request status becomes “Waiting for researcher to agree”
  3. Researcher approves iLab request; iLab request status becomes “Waiting for core to begin“
  4. Researcher attends open access training session
  5. SUMS sets up user accounts on open access instrument(s), submits card key access request; researchers is now authorized to use open access instrument(s); iLab request status is marked “Completed”
